Do you want to help run a Y-Combinator-backed AI startup from the inside, reporting to the COO and working directly with the entire leadership team? Do you thrive on creating order, and do you love a role where every day looks different? If you want autonomy, room to run, and a clear path to a Chief of Staff role, all at the cutting edge of AI technology in financial services, then read on! Who are we? Veritus was born from a simple belief: the conversations between lenders and their customers deserve better technology. We build AI agents that talk with borrowers by voice, text, email, and chat, from the first loan application through the final payment. Our platform is built for lenders, card issuers, and collection agencies who want to transform their operations with AI. Backed by Y Combinator, Crosslink, and Threshold, our AI agents already handle thousands of conversations every day. We're looking for an Operations Associate who wants to learn how an early-stage startup actually runs by helping run it, and are seeking someone who thrives at the intersection of organization, execution, and AI. What will the Operations Associate do? The Operations Associate keeps Veritus running: the San Francisco office, the leadership team's operating cadence, and the cross-functional projects our COO needs done, so that routine work runs on schedule and every important item gets done. Reporting directly to our COO, Kasia Gora, you will split your time roughly evenly between running our San Francisco office and owning operational projects for the COO. From the Monday leadership meeting to the holiday party, you will manage meeting materials, OKR tracking, vendors and budgets, interview scheduling, new hire setup, team events, and business travel. You'll work with the COO every day and with the whole leadership team, and there is a clear path to Chief of Staff for the right person. Who will love this job? You thrive when you can drive high impact across a whole company, and you bring the same care to every task, big or small. You're energized by learning how an early-stage startup actually runs by helping run it. You are relentlessly positive and view yourself as a pillar of company culture, and you get excited by all the possibilities to shape it through your work and interactions. You enjoy working in an entrepreneurial, AI-first environment where AI tools are the first thing you reach for. You are an execution expert: you keep dozens of open items on track with trackers and checklists, and you finish each one on your own, so the COO only has to ask once. You feel at home working with people inside and outside the company: you coordinate schedules across the leadership team, candidates, and interviewers, and you follow up with vendors and procurement teams until you have what you need. You take pride in how you show up, knowing that you are a beacon of Veritus’ values and culture! You communicate with precision: your updates, follow-ups, and SOPs are concise, accurate, and polished, so leaders can act on them right away. You take pride in building repeatable processes: you like turning a manual workflow into a documented, AI-assisted process that someone else could run. You are a scrappy, relentless problem-solver who figures things out and writes the playbook as you go, and who measures success by outcomes: action items closed, materials ready on deadline, and an office that runs smoothly because you run it. You want your work to matter and you want to work with folks who both laugh and get things done. You bring rigor as well as a sense of humor! Key Responsibilities Leadership Operations Run the leadership team's operating cadence: schedule leadership meetings and offsites, track OKRs, and follow up on action items until they close. Prepare recurring company materials, including weekly All Hands slides and KPI reporting, ready by the deadline every week. Take special projects off the COO's plate and run them end to end. Office Management and Events Planning Run the San Francisco office: snacks and supplies, packages and shipping, vendors, mail, guests, facilities, and the office budget. Schedule and support company offsites, internal team events, and business events, on budget and on time. Coordinate business travel for the team. Hiring and Onboarding Schedule all candidate interviews promptly as candidates advance. Get every new hire's desk, office access, welcome basket, and first-week schedule ready for day one, using a checklist you build and maintain. Finance and Processes Assist with invoicing, accounts receivable follow-up, budgets, and expense tracking. Turn repetitive workflows into documented, AI-assisted processes that someone else could run. Jump on new and unexpected tasks as they come up.
