We’re a mission-driven, product-focused team shaping the future of higher education. Position Overview Scholarly is seeking a Business Operations Associate to keep our fast-growing company running. This is an ideal role for a resourceful generalist who likes variety, takes ownership without being asked, and wants a front-row seat to how a software company actually works. This role spans just about everything that keeps the business moving. In a given week you might configure a new customer’s account on our platform, ship booth materials for an upcoming conference, work with the CEO to review customer contracts, send invoices and track down a purchase order, get a new hire’s laptop ordered, and keep our Denver office stocked and running. You will report to the COO and work across operations, customer implementation, sales, marketing, and people operations. Key Responsibilities Customer Implementation Support Act as internal support to our implementation and customer success teams. This can include: Configuring customer accounts in the Scholarly platform. Building and adjusting review workflows to match each institution’s process. Supporting data imports and mapping; testing configuration work before it reaches customers. Preparing training materials and documentation; keeping help content current. Tracking action items and tickets from customer meetings. Sales & Marketing Operations & Enablement Support the CEO on accounts receivable, vendor registration and associated documentation, customer invoicing, and account management (renewals, contract enhancement proposals, etc.) Support the CEO and account executives with customized demo account creation to increase prospect conversion and demonstrate the capabilities of the Scholarly platform Support the CEO and account executives with scheduling and internal coordination for major demos and on-site planning Gather documentation for the security, accessibility, and vendor review questionnaires that come up during sales cycles. Events & Conference Logistics Own logistics for the conferences we attend and sponsor, including registrations, booth reservations, sponsorship deadlines, and asset submissions. Order, inventory, pack, and ship booth materials, printed collateral, and branded items, and manage storage between events. Coordinate team travel and accommodations for conferences and onsite customer visits. Support post-event follow-through, including entering leads (where applicable) People Operations & Recruiting Support Run new hire onboarding logistics, including equipment ordering, software provisioning, and welcome kits. Coordinate interview scheduling and candidate communication, and keep applicant tracking organized. Plan team offsites, celebrations, and company events, and manage offboarding logistics. Denver Office & Company Operations Keep the office running, including supplies, mail and packages, equipment, and vendor and landlord coordination. Set up for onsite meetings, customer visits, and team gatherings, including catering. Serve as the in-person point of contact for anything that requires physical presence, from shipping runs to receiving deliveries. Manage and//or support on software subscriptions and renewals and keeping business information current with clients and state agencies Document and improve the processes you run so they can scale beyond you. AI Experimentation and Systems Building Leverage AI capabilities and agents to streamline company operations and processes opportunistically Identify cross-functional opportunities for AI enablement Qualifications Bachelor’s degree or equivalent experience. 3+ years of experience in operations, customer success, sales operations, or equivalent Exceptional organization and follow-through. Nothing falls through the cracks. Strong written and verbal communication skills, with a professional and friendly tone. Comfortable switching between very different tasks in a single day and prioritizing without much direction. Aptitude for learning new software quickly, and comfort working with data in spreadsheets. A bias toward ownership. You would rather figure it out and write it down than wait to be told. Based in the Denver metro area and able to work from our office regularly.
